Artemis, a marketing agency with a team of 6, ran all of its finances on a complex Excel file, built up over the years and understood by only one person.

The result: unclear cash receipts, forecasts done by hand, and a CEO called on whenever a figure was needed for a meeting, a strategic decision or a simple internal question. Every time, someone had to open the file, make sense of the latest updates, cross-reference columns and hope they had not made a mistake.

Artemis wanted to end this dependence on a makeshift tool and on a single person. The goal? A reliable, up-to-date financial picture, available effortlessly to the whole leadership team.

The real challenge was not replacing one Excel file with another tool, but making financial data that was typed in and copied by hand reliable — without weighing down the day-to-day of a team that had neither the time nor the wish to learn complex software.

So we needed a tool that could automatically fetch data where it already lived (invoicing, bank, business tools), recalculate KPIs continuously, and produce a forecast that updates itself, with no human intervention.

Another sensitive point: financial data does not forgive approximations. One copy-paste error, one forgotten line, one duplicate, and the whole reading of profitability tips over. The constraint was twofold: automate without sacrificing reliability, and deliver a tool the team would adopt easily.

1.Scoping and audit of the existing setup
We started by dissecting the historical Excel file with the CEO to understand the business logic: which KPIs really mattered, how the forecast was calculated and where recurring errors were hiding. The goal? Reproduce what worked, fix what did not, and only build what created a real time saving.
2.Automating data collection
We connected the tools the agency already used so that data flows automatically into the dashboard: no more manual entry, no more copying from one spreadsheet to another. Information is captured at the source, updates continuously and feeds the indicators directly.
3.Building the centralised dashboard
We built a single interface that shows, in real time, revenue versus expenses, the key KPIs and the forecast. One place to steer the business, available to the CEO and the rest of the leadership team, without going through the person in charge of the Excel file.

Before coding the interface, the dashboards and management views were mocked up interactively. Artemis could test how the figures were presented, adjust the UX and validate choices very early on.

Continuous test environments

Throughout development, we gave the client pre-production (staging) environments. As soon as a component (collection, calculation, reporting) was ready, the client could use it in real conditions and send us feedback so we could iterate quickly.

The client keeps full control at every step and sees their product take shape in real time: no black box, no bad surprises at delivery.
